DescriptionThe St. Louis County Department of Parks and Recreation seeks a Office Services Coordinator that can engage and manage complex administrative tasks.  Candidates should be able to perform work that requires significant typing, data entry, and/or heavy public contact.

Examples of Duties

Respond to inquiries and provides information and assistance to the general public in person, by telephone or by mail in matters as mandated by individual County Department concerns.

Answer and direct calls by taking messages, schedule appointments and refer caller to appropriate personnel.

Answer calls on the Parks Call Center.

Updating and Monitoring Social Media

Prepare and proof drafts and final documents including correspondence, summaries, evaluations and contracts.

Monitor, maintain and update reports, logs, lists, spreadsheets and databases.

Input information from forms, applications, vouchers and other source documents using a computer, computer terminal or scanner to establish and update records.

Generate documents including contracts, subpoenas, reports, summaries, work orders and billings.
Receive, review, process and issue vouchers, invoices, purchase orders, applications, work orders, registrations, permits and licenses.

Receive, open, sort and distribute U.S. and interoffice mail.

Maintain files and records.

Monitor and order supplies and equipment.

Prepare correspondence and maintenance documents for record retention.

May provide assistance or backup to other staff as needed.

Make mathematical calculations to verify accuracy of figures and to calculate penalties.
Perform other duties as required or assigned.

Minimum Qualifications

Equivalent to four years of experience in a general office environment.

Additional InformationSELECTION AND APPOINTMENT:  A selection committee will evaluate the qualifications of each applicant which will include recentness and appropriateness of the applicant’s education and experience, answers to the supplemental questions, results of employment references investigated and any other appropriate information available.

The selection committee will admit to the interview only those persons who possess the most job related qualifications and may establish admittance criteria beyond the minimum qualifications stated above.  The interview will comprise 100% of the applicant’s earned grade.  A candidate must earn a qualifying grade of 70 or more on the interview to be eligible for appointment.  After initial interviews with the selected candidates are conducted, an email will be sent to the address on file with instructions on how to complete and submit a Conviction Questionnaire.  Candidates have 3 days to complete the required questionnaire.

The five top ranking candidates, based on the final grade, will be certified to the Department Director/Appointing Authority who will make the final decision.

All applicants conditionally offered a merit position will be required to submit to urinalysis to screen for illegal drug use prior to appointment.  Screening will be performed by a reputable clinical laboratory.  The cost of screening will be covered by the County.
