MaineHealth Innovation is seeking a dynamic Administrative Specialist III to join the team!

The Administrative Specialist III is responsible for providing a combination of administrative, operational and project-based work that is essential to the mission of MaineHealth and the day to day efforts of the MaineHealth Innovation division.  Work is meaningful, diverse and requires independent decision making. Key to the role is being proactive, working effectively with people, and thriving in a fast-paced learning environment.

Team member will work closely with the Vice President of Innovation with MaineHealth and is expected to generate meeting minutes, prepare presentation materials, conduct monthly budget reconciliation and inventory management. The ideal candidate has a welcoming disposition, impeccable communication and organizational skills, and prior experience in an administrative role.

Responsibilities include:

Liaising with internal and external stakeholders to schedule meetings
Preparing presentation materials in collaboration with the VP
Managing Inventory, Documents, and Space
Onboarding of new MaineHealth Innovation employees and clinical coaches
Monthly budget variance reporting
Monitoring and responding to general inquiries to the Innovation Center’s communication’s channels
Greeting care team members visiting MaineHealth Innovation
Required Minimum Knowledge, Skills, and Abilities (KSAs)

Education: High school diploma or GED preferred.
License/Certifications: N/A
Experience: Minimum of 3-4 years of experience in an administrative support role required.
Exceptional written and oral communication skills.
Advanced skills with Microsoft Office Word, Excel and PowerPoint.
Strong interpersonal skills.
Strong multi-tasking skills.
Strong problem-solving skills.
Knowledge of medical terminology preferred.
